How will my availabilities be displayed to participants?
Your availabilities will be displayed as a list of available dates and times for the participant :
You can change how these availabilities are displayed though the schedule settings (see below).
How do the schedule settings work?
There are 4 settings to manage the behavior of your availabilities:
- The first parameter allows you to ensure you have an appropriate amount of down time between two appointments. Use it to wrap-up appointment without rushing, clean up your notes, and prepare for the next meeting. The default setting is 15 minutes.
- The second parameter allows you to ensure a minimum delay between now and a newly scheduled appointment, to avoid last minute bookings. By default, this minimum delay is 24 hours.
- The third parameter (in the "Advanced" section) determines the granularity with which we will present time slots to participants. By default, we present slots in 15min increments.
- The last parameter manages the maximum delay with which a participant can take a time slot, preventing a participant from scheduling a time slot too far in the future. The default is 30 days.
You can configure all these behaviors by clicking on the settings button at the top right of the scheduling page.
How do calendar availabilities work when I've synchronized a calendar?
When you've synchronized a calendar, you'll see the time slots you've already taken on your availability calendar:
- Full slots are those marked as "Occupied" in your calendar.
- Hatched slots are those marked as "Free" in your calendar.
By default, this display is only used as a visual aid to place your availabilities. If you wish to change this behavior, please see below.
How do I manage conflicts with my synchronized calendar?
In the availability settings, use the two parameters at the bottom to fine-tune how you want your conflicts to be managed.
You can :
- Decide whether or not to check for conflicts. Once conflict checking has been activated, availability zones that overlap with existing slots in your calendar will no longer be offered for reservation to your participants. The corresponding zones will be crosshatched in red to indicate this unavailability. This zone also takes into account your slot interval and minimum delay settings.
- Decide whether or not to ignore slots marked as " Free " in your original calendar. If you ignore them, they will not block your participants' booking.
